Mobile veterinary visits are intentionally different from traditional clinic appointments. When your veterinarian arrives, their attention is fully focused on your household. They are not moving between exam rooms or managing a crowded waiting area. This allows visits to feel calmer, less rushed, and more personalized.

Gather Helpful Information

Before your visit, take a few minutes to collect anything that may help your veterinarian better understand your pet’s health.

This might include:

  • Previous veterinary records or vaccine history
  • A list of current medications or supplements, including:
    • Medication name
    • Dose
    • How often it is given
  • Notes about recent changes in appetite, behavior, mobility, or elimination
  • Photos or videos of concerns that may not be present during the visit (such as limping or coughing)

Preparing Your Home & Your Pet

Choose a Comfortable Space

Your veterinarian arrives in a fully equipped mobile unit with everything needed for the visit. Exams, conversations, and most services are performed right inside your home, wherever your pet feels most comfortable.

There’s no need to deep clean or rearrange your space. The goal is simply to create a calm, safe environment where your pet can relax. If your pet is comfortable roaming freely, that’s perfectly fine.

To help the visit start smoothly, we recommend:

  • Keeping your pet inside the home before our arrival so time is not spent searching for them
  • Allowing your pet to roam if that’s their normal routine, or securing them in a preferred safe space if they do better with structure. This might include:
    • A crate
    • A specific room
    • An enclosed area

If we’re seeing multiple pets during the same visit, there’s usually nothing special you need to do. We’ll work through the appointment at a pace that keeps everyone comfortable. That said, if your pets tend to get overstimulated together, guard resources, or do better when separated, feel free to let us know. We’re happy to adjust the flow of the visit to meet each pet’s individual needs.

Starting the visit where your pet already feels safe allows the exam to proceed calmly and efficiently.

Plan for Safety & Comfort

Most pets are significantly calmer and more relaxed during in-home visits compared to clinic visits. Being in a familiar environment, without other animals, loud noises, or unfamiliar smells, often makes a noticeable difference.

Take a look at our patient Charlie’s first visit with us. His pet parent shared that Charlie was terrified of his previous veterinarian in a traditional clinic setting and required medicated and restraint during vet visits. With Dr. Cifranick and WoofDoctor on Wheels, that changed. Instead of fear and stress, Dr. Cifranick was greeted more like a friend stopping by during a puppy pool party.

That said, some pets may still experience anxiety, fear, or defensive behavior around strangers, even at home. If your pet has a history of:

  • Aggression toward unfamiliar people
  • Fear-based reactions during handling
  • Severe anxiety that makes exams difficult

During the Visit

Arrival & Set-Up: The Clinic Comes To You

When we arrive, our fully equipped mobile veterinary unit pulls right up to your home. Most pets are seen inside your house, where they already feel safe and comfortable. This familiar environment helps minimize anxiety and allows pets to relax far more quickly than they would in a traditional clinic setting.

You do not need to bring your pet out to us when we arrive. In fact, many pets greet us at the door like we’re a friend coming over for a visit. Some wag their tails, some bring a favorite toy, and others quietly observe from a cozy spot until they’re ready to say hello.

If your pet is more comfortable outside, or if your home setup makes that easier, we can absolutely accommodate that as well. Our mobile clinic is fully outfitted to allow exams, treatments, and diagnostics to be performed right in or just outside the vehicle when appropriate. The goal is always the same: meet your pet where they are most comfortable.

Your Appointment: What to Expect

For your first appointment, we intentionally allow extra time to get to know both you and your pet. If we’re seeing one pet, first visits typically last about 60 minutes. This gives us the opportunity to build rapport, gather a thorough history, and ensure your pet feels comfortable before any hands-on care begins. We also build in additional time for multi-pet households so no one feels rushed.

During the visit, Dr. Doug Cifranick, lead veterinarian and owner of WoofDoctor on Wheels, arrives with one of our Veterinary Assistants. Together, they bring everything needed for your appointment right to your door, including:

  • A pet scale
  • Vaccines and medications
  • Diagnostic equipment
  • Supplies for exams, treatments, and routine care

Before starting the physical exam, we spend time simply sitting with your pet and letting them get comfortable with us. Treats are often involved, so please let us know ahead of time if your pet has any food allergies or sensitivities. While your pet relaxes, we’ll talk with you about their health history, lifestyle, and any concerns you want to address.

We’ll also review everything you’d like done during the visit before we begin. This matters to us. Once exams and treatments are complete, we want your pet to be able to roam freely and associate us with positive experiences, not repeated handling. For many pets, the rest of the visit feels more like playtime than a medical appointment.

Exams, Diagnostics, & Treatments at Home

During a typical annual preventative exam, we’re able to perform many important services right in your home. These commonly include:

  • A comprehensive nose-to-tail physical exam
  • Vaccinations based on your pet’s lifestyle and risk
  • Heartworm and tick-borne disease testing for dogs, even if your pet is on prevention
  • Blood work and laboratory testing when indicated
  • Blood pressure monitoring, especially important for senior pets and cats
  • Discussion of nutrition, weight, dental health, mobility, and preventive care

Why We Test for Heartworm Every Year
A common question we hear is whether annual heartworm testing is still necessary if a pet is on preventative medication. The answer is yes, for several important reasons.

Most heartworm tests also screen for three tick-borne diseases: Lyme disease, Ehrlichia, and Anaplasma. This allows us to catch infections early, often before pets show obvious symptoms.

While heartworm preventatives are highly effective, no medication is 100% effective. Missed doses, delayed dosing, vomiting after administration, or rare product failures can all increase risk. Annual testing ensures we identify infections early, when treatment is safer and outcomes are better.

Additionally, heartworm resistance has been increasing in certain regions of the country, particularly in the Ohio and Mississippi River Valleys. While resistance remains uncommon in our area, regular testing allows us to stay proactive and ahead of potential problems.

Why Fecal Testing Is Not Routine at Every Annual Visit
You may notice that we do not routinely perform fecal testing during annual exams. This is intentional. Most of the pets we see are on Simparica Trio, which provides broad protection against intestinal parasites. In otherwise healthy pets, routine fecal testing often does not add meaningful information and can create unnecessary expense.

That said, fecal testing is absolutely recommended when there is a specific concern, such as:

  • Diarrhea or gastrointestinal symptoms
  • Weight loss or poor body condition
  • Inconsistent parasite prevention
  • Known exposure risks

By reserving fecal testing for situations where it provides the most value, we practice thoughtful, cost-conscious medicine without compromising care.

If needed, we also have access to additional diagnostics and services, including:

  • Allergy testing
  • Comprehensive blood panels
  • Diagnostic imaging such as X-rays or ultrasound
  • Ongoing management for chronic conditions

Additional routine wellness care services include:

  • Nail trims
  • Ear cleaning or ear plucking when appropriate
  • Anal gland expression

How Our Pricing Works
Mobile veterinary visits are typically structured as:

  • A travel fee
  • An exam fee
  • Any services, diagnostics, or products provided during the visit

At the end of your appointment, you’ll receive a detailed invoice that outlines exactly what was performed and why. We’re always happy to walk through the invoice with you and answer any questions before payment is processed.

Payment Timing and Accepted Methods
Payment is due at the conclusion of the visit. We accept:

  • Checks
  • All major credit cards

Although we do not accept CareCredit and do not offer traditional payment plans, we do offer care plans. Care plans are designed to make preventive care more predictable and affordable by spreading costs over time, while encouraging consistent wellness care.  Cancellations and Rescheduling
If you need to cancel or reschedule an appointment, we kindly ask for at least 24 business hours’ notice.

  • Cancellations with less notice will incur a $170 fee for Veterinary Care appointments
  • A $45 fee applies for Routine Care appointments

This policy helps us respect our team’s time and continue providing reliable mobile service to all families.

After the Visit

What You’ll Receive

After your appointment, we make sure you leave with clear information and easy access to your pet’s records.

You’ll receive:

  • Digital and paper vaccination records
  • A complete visit summary and recommendations emailed to you
  • A follow-up call within 1–2 days to check in, answer questions, and review next steps if needed

Review Your Care Plan

Once the visit is complete, we recommend taking a few minutes to review:

  • Any written or verbal instructions
  • Medication dosing and schedules
  • What changes to monitor at home
  • Recommended follow-up or recheck visits

It’s completely normal for questions to come up after you’ve had time to process everything. If anything is unclear, please reach out.

How to Schedule Online

Scheduling online is simple and takes just a few minutes:

  1. Visit our website and select the orange Schedule Appointment
  2. Choose the type of visit you’d like:
    • An in-home veterinarian visit
    • A phone appointment with a veterinary technician
  3. Select whether you are a new or existing client.
  4. Follow the prompts to verify your account. Existing clients will receive a confirmation code by email or text.
  5. Select which pet or pets you’d like to schedule. You may schedule more than one pet in the same visit.
  6. Confirm your pet’s information, including sex, reproductive status, age or birthdate, and whether this is their first visit with WoofDoctor on Wheels.
  7. Choose the primary reason for your visit. We recommend selecting the main concern rather than multiple services. You’ll have space to add notes or additional requests on the next screen.
  8. Provide any additional details and upload medical records if available.
  9. Select your preferred appointment window:
    • 9:00 AM – 1:00 PM or
    • 1:00 PM – 6:00 PM
  10. Click “Book It.” You’ll receive an email confirmation immediately. One day before your visit, we’ll text a 1-hour arrival window. On the day of your appointment, we’ll text again when we’re on our way.

Accessing Your Pet’s Records

If you’d like a convenient way to store and access your pet’s medical records, you can download the Digitail App. Please note: we do not recommend using the app for appointment scheduling or direct communication with our team.

When creating your Digitail account, be sure to use the same email address you used when scheduling your appointment or creating your account with us.

Prefer not to use an app? That’s completely fine. Email and phone communication work perfectly for us.

Your Pet’s Medications

    You can easily request refills by calling, texting, or emailing us. Alternatively, you can submit your request directly through the Digitail app under your pet’s profile, where it will send us a message with the details. We’ll review your request and get back to you the same day to ensure your pet never misses a dose.
